Website Care & Content Management Plan
Part A. Event & Scholarship Content Updates (Up to 3 Updates per Year)
Service Description
Provide up to three (3) scheduled website content update cycles per contract year to support the organization’s key events and scholarship communications. Each update cycle may include:
- Add or update Banquet / event information (date, time, location, agenda, tickets/registration links, sponsor info as provided).
- Calendar updates (create/modify event entries; mark key dates on the website calendar if applicable).
- Update Scholarship section (open/close dates, eligibility text, downloadable forms/links, deadlines, instructions).
- Embed or link Banquet invite video provided by Client (video creation/editing not included).
- Remove or archive old event content to keep the site current and organized.
Deliverables
- Updated live website pages/sections and basic formatting (headings, paragraphs, images supplied by Client, links, simple embeds).
Not Included (Unless Added Separately)
- Creating/editing videos, designing new brand assets, major page redesign, custom coding, new feature development, ticketing/payment system configuration beyond basic linking, or copywriting from scratch.
Part B. Website Maintenance, Security & Reliability Management
Service Description
Perform ongoing website technical maintenance to keep the site stable, secure, and operating smoothly with an emphasis on minimizing downtime and preventing common failures. Maintenance includes:
- WordPress core / theme / plugin updates (version upgrades, compatibility checks, and basic post-update verification).
- Database maintenance / upgrade support (e.g., MySQL/MariaDB version compatibility planning and coordinating upgrades as required by the hosting environment).
- Security monitoring and malware scanning (routine scans; removal/quarantine actions for identified malware when feasible).
- Uptime and performance troubleshooting (address common causes of downtime such as plugin conflicts, failed updates, memory limits, caching issues, or PHP version mismatches).
- Basic site health checks after maintenance actions (front-end load test, key page spot checks, admin login verification).
Service Standard / Notes
- The goal is to reduce risk and downtime, but 100% uptime is not guaranteed due to factors outside Provider control (hosting outages, third-party plugin defects, ISP issues, DNS/email provider incidents, force majeure).
- Maintenance is performed during reasonable maintenance windows when possible to reduce disruption.
Not Included (Unless Added Separately)
- Major site rebuild/redesign, custom feature development, complex performance engineering, incident response caused by hacked hosting accounts beyond the website scope, third-party license purchases, or recovery from severe compromise requiring full restoration/rebuild.
